For the papers you can never find

Find anything.File nothing.

The W-9, the signed contract, the insurance certificate: somewhere in a folder, an email or Google Drive. Bring your papers in once. XOfiles files each one with the right client, person and project, so you find it by asking.

  • No folders to make
  • Ask in plain words
  • Originals kept as they are

How it works

Your company’s papers, within reach.

Not another empty folder system. A clear view of every paper: who it’s about, what it says, and what comes next.

  1. 01

    Bring it all in

Drop in a folder, a pile of files or a zip. You see how many pages it comes to before anything is read.

  2. 02

    XO files every paper

Each paper is read once and put with the client, person and project it’s about. No folders to make, no names to fix.

  3. 03

    Ask, and it’s there

Ask for the W-9 or the renewal date in plain words. XO answers and shows the paper the answer came from.

Try it

Ask in plain words.

No folder names to remember. Ask the way you’d ask a colleague, and XO answers with the paper it came from, the page and its own words.

  • Every answer shows its paper
  • Finds it by what’s inside, not the file name

Sample papers

You asked: “Where’s Meridian Supply’s W-9?”

Filed with Meridian Supply. Signed Aug 12, 2026.

Their supply agreement and last three bills are filed with it.

Papers you want on file

  • Signed supply agreementSigned Mar 3, 2026On file
  • W-9Signed Aug 12, 2026On file
  • Certificate of insuranceNot on file yet

XO looked in your files and your email first. It isn’t there.

What’s missing

Know what isn’t there, before someone asks for it.

Pick the papers you want on file for each client or vendor. XO checks every line against what’s already filed, looks in your files and email for what isn’t, and drafts the ask when it’s nowhere.

  • Your own papers too. Articles, operating agreement, EIN letter and annual report, each line with what’s on file.
  • You stay in charge. Nothing is filed and nothing is sent until you say yes.

What you get

Everything in its place. Nothing to keep tidy.

  • No folders to make

Every paper is filed by client, person and project the moment it’s read.

  • Search reads inside

Search for a client and find the contract saved as Scan_2026_004, because XO already knows who it’s with.

  • One page for everyone

Each client, vendor and person your papers mention gets one page with every paper they’re part of.

  • Every version kept

The original you uploaded, every draft since and every signed copy stay side by side.

  • One company, however it’s spelled

“Acme LLC” and “ACME” are one client, unless you say to keep them separate.

  • The dates come to you

Renewals, end dates and notice dates read from each paper show beside it and in Next up.

  • Access when you say yes

Someone without access sees a short request. You get one notice with Approve on it, and they see nothing until you say yes.

  • Files only, if that’s all you need

Turn off signing and editing and keep the filing and the search. Nothing is deleted, and you can turn them back on.

The bigger picture

You built a business. Now give it a system that knows it.

XOfiles is one part of XOaos. Bring in more of your business, like papers, email, calls and money, and XO learns how it works: who your clients are, what was promised, and what is due next.

  • The next step is ready before you ask. The reminder, the invoice, the follow-up, already drafted.
  • The right person gets the task. XO knows each person’s job and hands work to them.
  • You decide. XO prepares and explains. People approve, sign and send.

Good to know

Questions, answered.

Does XO move or change my originals?
No. The paper you upload stays exactly as it is. Drafts and signed copies sit beside it, so every version is one tap away.
Do I have to make folders or rename anything?
No. XO files each paper by who and what it’s about. A contract saved as scan_0094.pdf is still found when you search for the client.
How do I bring my files in?
Drop in a folder, a pile of files or a zip. Before anything is read, you see how many pages it comes to and what it will use.
What does it cost?
Starting is free, and the free plan comes with 50 credits a month. Filing a paper uses 1 credit a page, once. Searching what’s filed uses none.
How does XO know what’s missing?
You choose the papers you want on file for each client or vendor, like a signed agreement, a W-9 or a certificate of insurance, plus your own company’s papers. XO checks each one against what’s filed, looks in your files and email for what isn’t, and drafts the ask. Nothing is filed until you say yes.
Who can see my files?
Only the people you let in. If you run more than one company, each one keeps its own files.
Is XOfiles separate from XOsign?
Both are part of XOaos, on one account. XOfiles finds and files your papers; XOsign sends them for signature, free.
